Virtru customers can create a Google Group on their G Suite domain and only add their desired Virtru senders to that group. By creating a Google Group on their domain called “virtru-provisioning-group” and adding selected users to this group, those users will become the only people in your organization who can compose new encrypted messages. Everyone else in your domain will still be able to decrypt the messages that are sent to them, but they will be unable to create new encrypted emails even if they have Virtru installed.

If you are on a Virtru Enterprise plan, Super Administrators can give individual users in your organization the ability to apply DLP rules for specific OUs and Groups to which they already belong.

To assign these privileges to your users, go to your Virtru Admin Dashboard and ensure that you have have ‘Organization Admin Mode’ toggled on at the top left of your screen. Depending on which type of grouping you want to edit, select either the ‘OU’ or the ‘GROUPS’ tab from the left side of the dashboard.

You will see a tree on the left displaying either the OU or Group hierarchy for your domain. Click on the OU / Group for which you want to assign DLP privileges. Next, click on the ‘Add Admin’ button at the top right of the screen.

You’ll see dropdown of all users in that OU / Group, from which you can search and select individual users to assign as Virtru admins. Then, check the box under each of your selected users in the row titled ‘Create DLP Rules.’ In doing so, you will give these users the ability to create, edit, and remove DLP rules created for the specified OU / Group. The next time they log into their Virtru Dashboards, they will see a ‘RULES’ tab on the lefthand side from which they can configure OU- and Group-specific DLP policies.

To remove a user’s OU / Group admin privileges, hover over their email address (which should now appear as a column header for the displayed matrix), and click the ‘x’ icon in the top right.

If you are on a Virtru Pro or Virtru Business plan and would like the ability to access these capabilities, please reach out to your account manager or contact Virtru sales.

Virtru Enterprise customers have the ability to set DLP rules for certain subsets of their users.

After purchasing a Virtru Enterprise subscription, Super Administrators for your domain can set Virtru DLP rules to apply only to certain OUs and Groups. Super Administrators can also give individual users in your organization the ability to define DLP rules for specific OUs and Groups to which they already belong.

To apply DLP rules for certain OUs and/or groups, click on the ‘RULES’ tab on the left side of your Virtru Dashboard (if you are an administrator for your Virtru organization, make sure you have ‘Organization Admin Mode’ toggled on at the top left of your dashboard).

Once you’ve clicked the ‘RULES’ tab, scroll down to the bottom of the screen, where you will see a ‘+’ sign. Hover over this icon to click ‘New Custom Rule’ and enter Virtru’s custom DLP rule builder. Here, you will see two options at the top of the screen, where you can choose to scope your rule to any number of OUs and/or Groups.

Click on the ‘+OU’ or ‘+Group’ button to display a list of selections from which to choose. The selections listed come directly from the OUs and Groups that have already been configured for your domain. Once you’ve identified the OUs and Groups to whom you want your rule to apply, you can continue building your DLP policy and click ‘Save & Exit’ to apply it to those specified user populations.

If you are on a Virtru Pro or Virtru Business plan and would like the ability to access these capabilities, please reach out to your account manager or contact Virtru sales.

Virtru’s DLP rules run at the moment the email is sent, so you’re free to compose an email without internet access.  Once you’ve reconnected to a network, you can hit send and our DLP rules will check the entire message.

Once you’ve completed synching your organization’s domain, you’ll want to get your end users to add Virtru plug-ins. Here’s a short script to email your team.

Here’s an email template you can also use to make sure your recipients recognize the Virtru-encrypted emails you’ll be sending.

Tour your Virtru Admin Dashboard.

Set up DLP rules to detect and automatically encrypt sensitive info for your organization.

If you don’t see your users listed in your Virtru Dashboard, then your domain sync has not completed fully. Here’s what you’ll need to do to force the sync to complete:

1) Open a new Incognito Window in Chrome, and head to admin.google.com. (If you’re in another browser, use your browser’s equivalent – Private Browsing, InPrivate, etc).

2) Ensure that API access is enabled for your domain by clicking Security > API Reference. Check “Enable API Access” and save your changes.

3) Then head back to www.virtru.com/cust-admin-resources, and enter your information in the box in Step 1 (while still in Incognito).

4) Follow the prompts to add Virtru to your domain.

If, at the end of that process, you’re not shown a screen with the total number of groups, aliases, and users in your domain, the sync is not yet complete. To force the sync to go through, paste the following URL into your Incognito window:

www.virtru.com/dashboard?setup=true

You can now cancel your Virtru subscription from the Profile tab of your Virtru Dashboard. Before you do, there are a few things you should know:

By cancelling, you’ll be downgraded to the free version of Virtru. This means you’ll lose the ability to revoke messages, disable forwarding, and set an expiration date for emails you send. You’ll also lose your ability to manage the Virtru-encrypted emails you and your team have sent in the past.

You will, however, still be able to read secure messages that you’ve sent and received and continue to send secure email.

Note: If you’re a G Suite (formerly known as Google Apps) Admin who has added Virtru to your G Suite Marketplace, the above does not apply. Please contact billingsupport@virtru.com if you’d like to cancel your account.
