What if Encrypting Files in Zendesk Had An Easy Button?
In the support world, making security as simple as possible isn’t just a nice-to-have. It’s a need, and for some companies can even mean the difference between gaining and losing business. Simplicity isn’t just for the benefit of the consumer, though–it helps your staff remain consistent in executing secure data practices on the daily.
That’s where so many CISOs commonly face friction. By focusing on locking down devices, endpoints, identities, networks, and apps–the data itself becomes deprioritized in a sea of complex security protections that muddy workflows and even encourage unsafe workarounds.
You shouldn’t have to choose between having a steady workflow and protecting sensitive data.
If in the support process, you need to request or share payment numbers, Personal Identifiable Information (PII), or other sensitive data, Virtru allows you to encrypt these communications with the simplicity of one click. We can do this using our encrypted file-sharing platform, Virtru Share, which integrates seamlessly into the Zendesk interface. Here’s how it works.
Requesting Sensitive Data in Zendesk
In some cases, customer-facing representatives may need to request sensitive information like credit card numbers, routing or wiring instructions, addresses, phone numbers, and other PII.
If you’re using Zendesk internally for IT purposes, your IT reps may need to request credentials, IP addresses, or other sensitive data to resolve technical issues.
Virtru can integrate easily into your Zendesk system, and appears in the chat function as a plugin. When requesting information from your customer or employee, click on the Virtru plugin button, and Virtru Share will generate a unique link to send to your recipient.
Through this web-hosted link, your customer can easily authenticate their identity, and upload their sensitive file. From there, the file is automatically encrypted at rest, and in transit after they hit send.
The entire process takes less than two minutes. Here’s a quick demonstration of how it works.
Sending Sensitive Data in Zendesk
Sometimes, sending information like temporary passwords, technical plans or directions, private company data, or any other sensitive info, is necessary to reach a resolution, and it will need to be done quickly and securely.
Sharing this information through Zendesk is just as easy as requesting it. Start by clicking on the Virtru plugin in the chat box, and select “Virtru Share.” From there, you can upload and encrypt your sensitive data without ever leaving Zendesk.
All data owners, whether it’s you or the customer you’re corresponding with, have full control over the data they share with you using Virtru Share. Virtru Share gives all data owners the ability to revoke access to their data at any point; they can also set expiration dates, apply watermarks to files, and set specified permissions to their files, like the ability to download or share it further.
